Administrative Assistant
Job Description
- Manage the entry of chemicals into ProSteward, Access database, and SDSs.
- Handle CHESM database entry and dashboard management.
- Collaborate with Learning and Development (L&D) on compliance training calendar, requirements, and documentation/records retention.
- Oversee the management of Sphera Essential Compliance Tasks.
- Assist with Process Map entries for Occupational Health (OH).
- Act as the System Administrator for the new RegScan system.
- Provide System Admin support for the new Electronic Permit to Work (ePTW) system.
- Update and post content to web pages as required.
- Manage boot vouchers for employees.
- Maintain contractor Health and Safety (H&S) contacts and information list.
- Assist in managing contact lists for communications and perform additional administrative duties during turnarounds.
- Serve as backup support for RI-001, Refinery Instruction Process.
- Act as the backup administrator for letters.
- Print necessary documents when needed, such as the IIR Matrix.
- Handle the ordering of lunches, supplies, and coffee.
- Work with the IT department to update HSE KR forms or create new forms.
- Serve as backup to Emergency Services admin during hurricane season.
- Coordinate logistics for new hire support and onboarding.
- Potentially lead a large-scale project: HSE O-Drive clean-up for the move to SharePoint.
- High School diploma or equivalent.
- Minimum of 3 years of administrative experience.
- Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, Teams, and SharePoint.
- Strong written and verbal communication skills.
- Ability to build relationships and align priorities through effective interpersonal skills.
- Capable of producing high-quality work by anticipating deadlines and needs and following through to completion.
- Able to work well with minimal supervision and demonstrate initiative as a self-starter.
- Associate degree
