Administrative Assistant

Job Description
- Excellent organization skills and ability to prioritize/make decisions (understand trade-offs, etc) with minimal supervision after work direction is provided.
- Ability to multitask and execute/complete tasks in a timely and efficient manner
- Strong verbal and written communications skills coupled with effective and friendly interfacing skills
- Experience and fluency in MS 365 programs (i.e. Outlook, Teams, ppt, Excel, Word, OneDrive)
- Able to represent the company with high professionalism and integrity; able to handle sensitive materials and maintain confidentiality at all times.
- Prefer flexibility to support at night if necessary (i.e. 8 pm - 10 pm to liaison with International Products 1 or 2 nights/week). Core hours likely 8-12 am, but flexible.
- Hours may increase, commensurating with ability
- TEA expense reports
- Draft monthly TEA report for the manager.
- Draft TEA reports for the manager direct reports depending on bandwidth and system constraints (as they use various International Products CTREX systems)
- Travel booking for the manager.
- Support travel reservations for trips where CWT must be used (countries with security/country manager approvals)
- Coordinate approvals from global security, country manager, etc
- Coordinate Visas for entry
- Obtain letter of invitation, if needed
- Apply and submit all necessary forms/docs
- Manage travel itinerary changes with CWT as needed
- Meeting coordination
- Schedule meetings for BX team, which may have 5+ time zones on MS Teams
- Many include counterparties, so communications must be formal and professional
- Book in person meeting rooms (will provide admin contacts for Singapore/Dubai/London who may support if can’t manage through system)
- Manage blocked hotel room bookings for the manager and team, as necessary
- E.g. the Dubai EAMESA LT + 1 mtg required each of us to fill out form with payment info to manage blocked room bookings vs using CTREX
- Manage execution/signatory for hard copy agreements
- Receive, print, managing signing, send hard copies of agreements
- Support Alice and team on other administrative duties
- Organization of Teams/SharePt
- Clean up of files and file naming conventions as needed
- Support power point presentation development by setting up template, adding formats/photos
- Analytical support
- Basic data entry and analysis
